Premium White Glove Shipping Services
Some deliveries need a little extra planning. Let us know at order time and we'll quote any additional charge up front — arrangements made last-minute get harder and more expensive. Premium services include:
- Islands and other remote locations (e.g. Martha's Vineyard, Whidbey Island)
- Sites that can't accommodate an 18-wheel truck
- Deliveries outside our carrier's regular schedule for your area, or after-hours / weekend / holiday slots
- Spiral staircases or other in-home logistical challenges
- Multiple deliveries for a single order
- White glove service for POLYWOOD (normally shipped via express carrier)
Address changes after a shipment leaves Vermont, and rescheduled or missed deliveries, may incur additional fees.
Delivery Preparations
You'll receive email updates as your delivery date approaches. A few things to know:
- Once scheduled, please keep the slot — our carrier routes around it, and rescheduling usually carries a fee
- Clear the path (including wall décor) to the room where the furniture is going
- Our team will place your piece in the room you choose, but can't move existing furniture or electronics, set up lamps, hang mirrors, or make electrical connections
- We don't haul away old furniture — many local nonprofits will pick it up for free
Inspection on Delivery
Damage is rare, but when it happens we can only help if it's documented on the shipper's waybill while the driver is present. Please follow these steps:
- Inspect the boxes. Note any visible damage to the cartons on every copy of the waybill.
- If the driver won't wait for a full inspection, write on the waybill: "Driver refused to wait for inspection of contents. Final determination of possible damage to contents will be made when packages are opened after delivery."
- Document every issue in detail — however minor — and have the crew co-sign the waybill.
- Call us immediately at 802-579-1302 and follow up with photos so we can resolve it.
- Substantial damage: refuse the piece and have the shipper return it for repair or replacement.
- Minor damage (scratches, nicks, small cracks, door or drawer issues): VWS will pursue repair over replacement when the piece can be restored to new condition.
- Missing pieces or hardware: note the shortage on the waybill and call us. We'll trace the shipment; hardware can be dispatched and installed by a furniture medic.
If the furniture isn't inspected on arrival and damage isn't noted on the waybill, we can't file an insurance claim — or help with repair or replacement.
Small Item Shipping
Small items can ship via FedEx, UPS, or common carrier on request. Contact us with any expedited or special-handling needs and we'll do our best to accommodate. On arrival, inspect the packaging for damage and photograph anything questionable before opening. If the piece itself is damaged, contact us right away.
Outdoor POLYWOOD Furniture — Free Shipping
POLYWOOD outdoor furniture ships free within the contiguous U.S. Most pieces go via FedEx; oversized items travel by common carrier with curbside delivery. FedEx brings the package to your threshold — not inside, and white glove service doesn't apply to POLYWOOD.
Free shipping covers most of the lower 48. Islands and other hard-to-reach locations may carry a surcharge; if access to your home is limited, let us know at order time and we'll advise on any additional charge up front.
Lead times
Many POLYWOOD pieces are stocked and ship within 1–5 business days. Made-to-order items follow this schedule:
- Standard cushion colors — stocked and made to order on receipt; ship within 2 weeks
- Specialty / custom cushion fabrics — made to order; ship within 3 weeks
- Peak season — some items may take longer; individual product pages show the current lead time
Before you order
Measure your doorways and passageways — VWS can't assume responsibility for deliveries that can't be completed because of site access.
On delivery
Inspect the cartons for rough handling and the piece for damage before signing the waybill. If you find anything, document it on the waybill, have the driver co-sign, and call us at 802-579-1302 with photos — we can only file an insurance claim if the damage is noted at delivery. The full checklist in Inspection on Delivery applies to POLYWOOD too.
Overseas Shipping: International, Alaska, Hawaii & Island Deliveries
For Alaska, Hawaii, US islands, and international destinations, we ship to any address, port, or transportation hub of your choosing within the contiguous U.S. You arrange onward transport from there. We're happy to supply weights and dimensions — just ask.
What you should know before ordering:
- Extra boxing, crating, and handling fees are added at order time — please contact us first to discuss options and costs
- Once the piece is handed off to your chosen carrier, VWS can't be held responsible for damage or delays. Have your receiving agent inspect it thoroughly before signing
- Our lifetime guarantee does not extend to furniture shipped by boat or plane
US island residents (Nantucket, Martha's Vineyard, etc.): contact us before ordering. We typically ship to the nearest mainland port and hand off to a local delivery company you arrange.
When shipping outside of the lower 48 US states or to an Island, we want to be sure customers understand there are additional risks and costs. Additional charges for shipping, such as extra boxing, crating and other fees must be added when your order is placed.
Customers are responsible for finding their overseas shipper. We will ship to any residence, business, port or transportation hub within the continental US. Shipping beyond that point is the responsibility of the customer. We are happy to supply any weights or measurements your shipper may need.
After the furniture has been handed off from our shipper to the shipper of your choice, Vermont Woods Studios cannot be responsible for any damage or issues. It is highly recommended that customers have their receiving agent inspect their order thoroughly before signing for it.
Due to the logistics of servicing furniture outside of the lower 48 US States and islands, we are unable to extend our lifetime guarantee to furniture shipped by boat or plane.
Customers living on US islands (such as Nantucket and Martha's Vineyard) must contact VWS prior to their purchase, regarding additional charges for island delivery. Typically, we ship furniture to the nearest mainland port and from there, customers make arrangements with a local delivery company. Contact us for details.
Lead Time
Each product page lists a crafting lead time — how long your piece takes to build. Shipping time is separate: about 3–4 weeks to New England, 3–5 weeks to the East Coast, and 4–6 weeks to the Midwest, West, and South. Lead times can shift; we'll let you know if yours does. We're not able to offer compensation for extended lead times.
Approximate Shipping Times are Not Guaranteed
Most orders arrive on schedule, but transit times are estimates — weather, carrier errors, and other logistical surprises occasionally push delivery back. We can't guarantee a specific date or time at order placement. You'll get a tracking number for every shipment (including POLYWOOD orders via FedEx or common carrier) so you can follow it in real time.
Storage Fees
We'll store your finished furniture free of charge for up to 30 days. After that, standard industry fees apply:
- 31–90 days: 1% of order total per 30 days
- 91–180 days: 5% of order total per 30 days (6-month maximum)
If you think you'll need storage, please reach out as early as possible so we can plan around it.
Order Pickups
Free store pickup is offered at checkout to customers within 50 miles of our one pickup location: 538 Huckle Hill Road, Vernon, Vermont. If you don't see the option at checkout, contact our sales team.
When you come:
- Bring a vehicle sized for your order and blankets for transit
- Bring a second person for heavy lifting — our staff may not be available to help
Storage fees apply to pickups after 30 days (see above). Our lifetime guarantee does not cover furniture that requires professional in-home assembly — for example beds and dining tables — when the order is picked up.
